Frequently Asked Questions

Your Owner ID Number is a six character identification number assigned to your individual account and can be found on your Division Order Form and in the upper left hand corner of the revenue detail provided with your royalty check. Please provide your Owner ID Number in all communications.

Checks are mailed once a month, at the end of each month that an Interest Owner’s royalty revenue reaches $100.00. Amounts over $10 but under the minimum remittance requirement of $100 are paid out once a year. We do not offer direct deposit at this time; all checks are sent by mail.

Your Interest Owner Account can be put into suspense for a number of reasons. If a check is returned to our office undeliverable your account will be put into suspense until a new address is provided. Delinquent Ad Valorum taxes, missing Division Order Form, missing W9, or title issues can also cause your account to be put into suspense. Once notified of a pending change in ownership, such as notice of death, conveyance of interest, or legal dispute, your account will be temporarily put into suspense. Your royalty revenue will accumulate in your suspense account and be released to the correct party once the matters affecting ownership have been resolved. If you believe your account is currently held in suspense, please contact us at owner.relations@hillwood.com or 817-224-6349.

The IRS requires that form 1099s be mailed out by January 31st. Please ensure that your address on file is correct.

All transfers of interest require a change in record title. In most cases, a Deed or Assignment conveying the interest to the new owner must be executed and filed of record in the county in which the interest being conveyed is located. We do not furnish forms or assist in the creation of such conveyances. If you need help, please seek legal advice and/or assistance.

To transfer the interest according to a decedent’s will, a copy of the Last Will and Testament, Letters Testamentary or Administration, and Final Decree or Final Order should be provided to our office. If there is no probate of the decedent’s estate, a copy of the Death Certificate and an Affidavit of Heirship, filed with the county in which the interest is located is required. All forms can be submitted to owner.relations@hillwood.com, or mailed to:
